That'sCommunityEd offers fully integrated credit card support from several major gateways. Credit cards can be stored securely at one of our PCI DSS compliant gateways for later use and automatic payments. All credit card information is transmitted securely with industry standard high grade encryption.
Budget Codes
All of the financial information entered into That'sCommunityEd is assigned to a budget code for easy tracking. The transactions report can break down payments to exact pennies even when customers are paying for several items at a time.
Fiscal Years
That'sCommunityEd can break payments between fiscal years for accurate finance tracking. It can even handle the complex situation of large pre-payments or courses that span over fiscal year cut-offs.

Multiple Rates
That'sCommunityEd allows each of a courses sections to have different rates for customers. You can toggle between the default rate and choose which you would like to be options online.
Discounts, Adjustments, and Promo Codes
That'sCommunityEd is designed to meet the needs of several different types of enrollments. It can accommodate may diverse enrollment situations, including:

That'sCommunityEd manages all of your instructors' finance and contract information. It has options to choose different payment rates and reimbursement for supplies. Finally, instructors have the ability to sign in to the public side to view the information about their courses including current enrollment counts.
Finances
That'sCommunityEd tracks all of your courses' financial information including course receipts, supplies, instructor contracts, and any additional expenses or credits you may have. It even has built-in functionality for handling the billing of organization discounts such as SCHA and UCARE.
Archiving
That'sCommunityEd automatically archives past data when the time is right. With just a few clicks you can view all of your past courses and enrollments making it easy to copy information into current or future courses.

Account Management
That'sCommunityEd offers straight forward and intuitive account management for all of your different child care programs. Accounts can have multiple owners or children participating in any number of different child care programs.
Mass Invoicing
That'sCommunityEd can invoice an entire child care program with just a few clicks. The application works in the background generating PDFs for mailing and sending email to parents while you can continue doing other things. Normal invoicing time for programs with 500 families is less than 30 minutes start to finish.
Flexible Rates
Whether you bill daily, weekly, or monthly, That'sCommunityEd's invoicing system can accommodate your needs. It also provides specific functions for handling registration fees, late fees, drop-in days, grace periods, discounts, and account adjustments.
Non School Days
That'sCommunityEd has specific functions for managing entire days of child care over breaks allowing for different rates and sites during those dates. It will also automatically invoice them during the appropriate period and combine the charges with regular child care charges.
Automatic Payments
That'sCommunityEd can securely store customer credit cards and charge them automatically on the due date of their invoice. Parents can change which card to use or turn the option on or off at anytime online. That'sCommunityEd will even email them a receipt or a reminder that the card on file will be expiring soon.
Paperless
That'sCommunityEd provides parents the option to have invoices emailed to them rather than receiving a paper copy. The emails are generated and sent automatically during mass invoicing. Parents will receive email receipts of payments when they pay online or when they are automatically charged by the automatic payment system.
Online
Each child care account in That'sCommunityEd can have several different owners with different logins. Each owner can do a number of different things, including:
- View invoices and receipts
- Download PDFs of invoices and receipts
- Make a secure one time-credit card payment
- Enroll in paperless invoicing or automatic payments
- Download year end tax statements
That'sCommunityEd also provides the option to make a quickpay payment without logging in. It just requires two answers to simple questions and a credit card payment can be made instantly.

Account Management
Users can easily manage several different accounts all at the same time. Whether they have more than one organization, a sub-organization, or a personal account That'sCommunityEd makes it easy for staff and customers to manage all of their accounts in one place.
Series Creating and Editing
That'sCommunityEd provides the option of creating and modifying facility requests either by series or individual dates. Series editing allows for much faster entry and modifying when requests with several different dates have the same location and times.
When more detailed control is required That'sCommunityEd offers individual part editing for very precise control over your facilities and permits.
Approval System
Customers and staff can make complete facility requests from start to finish. All that is needed is the approval of a facility administrator to finalize the request. With an approval-based facility system the requests will only need to be entered once.
Calendar and Availability Views
Get a top level view of what is going on at your buildings with the Calendar view or get a detailed room by room view with the advanced Availability view.
Conflict Checking
That'sCommunityEd offers real time conflict checking and resolution including the option to allow double booking.
Versioning
That'sCommunityEd uses a versioning system for keeping track of changes to facility requests. This makes for an easy to read view of what has happened to a facility request from the initial entry to the final invoice.
Invoicing
That'sCommunityEd can invoice for an individual request or mass invoicing entire date spans. You can easily create combined invoices for customers who have several requests for easy to read and concise invoices.
Personnel and Equipment
That'sCommunityEd can manage personnel and equipment rates and supports hourly, daily, flat fees, or a combination of any of the above. Easily assign different rates and different budget codes within the same facility request.
iCalendar Support
That'sCommunityEd creates industry standard iCalendar type files and subscription feeds. Instead of sending building schedules every week That'sCommunityEd can be used to publish iCalendar feeds that can be subscribed to by standard calendaring clients such as Microsoft Outlook, Apple iCal, or Google Calendar. When a facility request is modified the clients' calendar will update automatically to reflect the changes.
Online
That'sCommunityEd provides an easy to use online interface that allows facilities to:

Email Address Export
Email addresses can be exported from almost every list in the system, whether you are looking at child care sites, courses, or entire course catalogs. It can also easily exclude people who have chosen not to receive marketing email as well.
Mailing Labels
Like exporting email addresses, That'sCommunityEd can generate mailing labels from almost any list in the application. It even allows you to choose label offsets so you don't end up with wasted sheets.
List Interaction
That'sCommunityEd provides an intuitive way to run reports from the list pages. It allows you to select several different objects and run several reports at the same time, even combining them if you wish. This provides a flexible way to run common reports such as:
- All of the course rosters for an entire week
- Building schedule report for all of the gyms
- Instructor contracts for anyone who is teaching a course tonight
- Sign in and Out sheets for child care sites that offer after school care
Exporting
That'sCommunityEd will export any of its list data as either Excel, CSV, or OpenSpreadsheet formats. Search, sort, or filter the data however you like and the exporter will give you the results exactly as you see it on the screen. It is a perfect fit for creating your own custom reports with mail merge or calculating specific metrics.

That'sCommunityEd uses an advanced searching function to help you narrow down results to exactly what you are looking for. It allows for you to do searches such as:
- All of the credit card payments for the past week that were more than $50.00
- All of the school age child care attendees that attended last Thursday
- All of the events in Gym A for the basketball team
- Etc...
Custom Column Views
Every list of That'sCommunityEd data has several different columns that can be shown at any time. You may choose which columns you want to view, search, and sort by.
Exporting
After selecting columns and searching That'sCommunityEd provides the option to export the list you are viewing in either Microsoft Excel, CSV, or OpenOffice formats. That'sCommunityEd also provides some pre-built ways of generating common items such as email lists or mailing labels.

That'sCommunityEd offers integration with some of the most popular social networking sites including facebook and twitter. To make it easier and faster for customers to register online they can use an existing facebook account to login and register. Users can even share interesting courses with friends by providing links to tweet courses or share them on facebook.

Shopping Cart
That'sCommunityEd uses a standard shopping cart interface for enrolling in courses. This is very similar to designs that your customers have seen before; making the transition from buying books online to registering for courses seamless.

Solr is the popular, blazing fast open-source enterprise search platform from the Apache Lucene project. We utilize Solr to allow you to find information in That'sCommunityEd quickly and accurately.
OpenOffice.org
OpenOffice.org is the leading open-source office software suite for word processing, spreadsheets, presentations, graphics, databases and more. We use OpenOffice.org to convert reports and data exported from That'sCommunityEd into native Microsoft Office documents. All reports and data are available in Open Document and Microsoft Office formats.
